Communication of cancellation is due no later than 11:59 pm on Friday night, 7 days before each game (the, “Event Cancellation Deadline”). This is the Friday night before Arcanorum must turn in our final number of participants to Highlands Camp and Retreat Center (HRCC) to complete our group registration with them.
Arcanorum’s contract with HRCC requires that the game pay for each participant who is registered when we turn in that list.
Therefore, the game offers the following two refund options to PCs who, for any reason or no reason, cancel after the Event Cancellation Deadline, or do not attend an event without cancellation notice:
- Player may receive a partial refund of:
$40 for a cabin ticket
$20 for a tent ticket or day game ticketThis can be applied as credit toward future event registration, or refunded directly, as requested by the player. No credit for the event in levels, XP, or other rewards will be granted.
- Player elects no refund, they may choose to receive all of the CP normally gained for that game, and the material logistics they would have received, collected at the next game they attend.
Invitation to NPC or otherwise volunteer full-time:
Arcanorum must turn in our final number of participants to Highlands Camp and Retreat Center (HRCC) for our final registration there on the Monday before each event.Arcanorum’s contract with HRCC requires that the game pay for each participant who is registered when we turn in that list.
Therefore, the game kindly requests that any registered NPC volunteer or other backstage staff let us know if they cannot attend by the Event Cancellation Deadline, no later than 11:59 pm on Friday night, 7 days before each game.
Registered NPC volunteers that fail to notify Arcanorum Staff of inability to attend an event before the Event Cancellation Deadline may be subject to a restriction only allowing them registration for day game passes.
